We know that you are busy, so we make it easy for you to book meetings and hold calls with your project manager. Below are some of our guidelines and best practices for how we setup meetings and handle scheduling.
Each month, your project manager will meet with you to discuss the previous month, current goals and objectives, and to determine how hours will be spent in the following month. These conversations typically last 30 minutes to an hour, so are booked in hour long increments.
Each session is scheduled at a time that works for you and your team. We are happy to schedule those meetings outside of our normal office hours as long as they are planned at least 72 hours in advance.
Outside of the monthly sessions, training and other calls are sometimes needed. We will work with you to find the right times for those meetings and schedule them in blocks that work for you. Typically, we like to schedule at least 30 minutes per call, but some topics take a shorter amount of time then that.
All of our meetings take place over the phone or through one of our video conferencing solutions. While these don't change very often, we have a few different tools based on the needs of a client. Your project manager will typically setup a system with you to begin, and use that same system for each meeting.
We know that things happen, so we have a simple cancellation policy: cancel whenever you need to. Fires pop up, and as many of our clients are small business owners, we completely understand. We do ask though that you try to give us as much notice as possible.
If you are unable for a meeting you have previously scheduled but are unreachable or do not login to the video conference, we reserve the right to add a 15 minute penalty to your monthly hours.
